Meetings & agendas

Prepare and publish a meeting agenda

Work on a private board draft, then explicitly publish the agenda for members.

Step by step

  1. Open Meetings & events and choose Schedule a meeting. Add a title, choose Texas Central or Mountain time, enter the meeting’s local date and time in that zone, and add an optional full HTTPS meeting link.

  2. Write the agenda or use the editable starter template. Choose Save draft to continue preparing it privately with the board.

  3. Open the agenda editor again when ready. Choose Publish agenda to share its text and publication date with active members.

  4. For later revisions, save a new private draft while the previously published agenda remains visible. Publish again when the revision is ready.

  5. If another board member saved first, preserve any unsaved wording, load the latest agenda and reconcile changes before saving again.

  6. To call off a meeting, choose Cancel meeting and give a reason. Members see a clear cancellation notice. The agenda, minutes and history are retained; the board can reinstate the meeting with a reason.

Before you continue

  • The meeting itself can appear to members while its agenda is still a private draft. Owners and moderators cannot read the draft.
  • New meetings, corrections to meeting details and published agenda revisions appear in other eligible members’ notification center. Private drafts and minutes-only edits do not create notices. Email delivery is not connected.
  • Publication here does not replace any required meeting notice, delivery method, timing or association-specific legal review.
