Getting started

Set up your community and find your way around.

Set up your Texas association

Register a new community and set up its HOA, LOA or POA before inviting members to participate.

Step by step

  1. New community: choose Register your community on the public introduction or sign-in page. To enter an existing account from the introduction, choose Go directly to NeighborEase. For registration, enter your name, email, username, a unique password of at least 8 characters and its confirmation. Registration creates your personal account and signs you in; it does not join an existing association.

  2. The association setup form opens for a new account with no communities. Enter the association name and select HOA, LOA or POA, then complete the setup and save. Your community is created only when this form is saved.

  3. Already have an account? Sign in, open the community selector and choose Create an association. To join an existing community instead, ask its Community Admin for a private invitation link; do not create a duplicate association.

  4. Use Add a complete association mailing address to enter the street or P.O. box, optional unit, city, state and ZIP code. Country is United States. Review or change it later in Association settings → Edit association; county coverage remains a separate choice.

  5. Choose exactly one Texas county for the community. All 254 counties are searchable by name or FIPS. Later, use Association settings → Edit association to replace the county; if existing properties need correction, review their labels, enter a reason and explicitly confirm the correction before saving.

  6. Choose one vote per property or weighted property entitlements. Confirm the appropriate model against your governing documents before using it.

  7. Choose your board office: President, Vice President, Secretary, Treasurer or Board Member. No office is selected for you. Your saved position appears with your membership in People & properties; the app makes you the named Community Admin with Board access only in the community you create.

  8. Read the organizer authorization declaration for the named association and explicitly check the confirmation before choosing Create association. The community cannot be created without both an office and this confirmation. The declaration, its text version, your identity, the selected office and the server time are recorded in the immutable creation log.

  9. Invite members, verify ownership outside the app, and register and assign properties in People & properties. The association creator also needs ownership verification to propose or vote.

  10. Add useful community information, schedule a meeting and approve an informal proposal only after checking the eligible property registry.

Invite a member or join your community

Use a private invitation link to join the correct association with your own account.

Step by step

  1. Community Admin: open People & properties, choose Invite a member, and check the intended member’s name, email address and role before creating the link.

  2. Copy the private invitation link and share it directly with the intended person. The app does not send an invitation email.

  3. Member: open the link. Create your own account if you are new, or use the existing-account option if you already have a NeighborEase account.

  4. For a new account, choose a username of 3–64 letters, numbers, dots, underscores or hyphens and a unique password of at least 8 characters. Follow the form to finish joining.

  5. Ask the board to verify ownership and assign the relevant property before expecting to participate in a poll.

Use the app on your phone or computer

Use the responsive website in your browser, with an optional installed shortcut where your browser supports it.

Step by step

  1. Open the secure NeighborEase address in a current browser and sign in with your own account.

  2. On a narrow screen, use the navigation menu to open community areas. The same association data is available when signing in on another device.

  3. If your browser offers Install app or Add to Home Screen, use that option to create a convenient app entry. Availability and wording depend on the device and browser.

  4. Keep an internet connection to read or change private community data. An installed icon does not make the private workspace available offline.

  5. If a page cannot load, reconnect and refresh. Check the saved state before repeating a submission that may already have reached the server.

Switch communities, roles and language

Keep association context clear when one account belongs to more than one community.

Step by step

  1. Check the community name in the navigation before creating content, casting a ballot or reviewing a request.

  2. Open the community selector and choose an association you have joined. Your role and available actions are specific to that association.

  3. Use EN or ES in the header to change the interface language. Community-written posts, proposals and documents remain in their original language.

  4. If the normal workspace is restricted, use Account & service and its association selector for your authorized requests, or switch to another available community.

  5. If an expected community is missing, ask its Community Admin to check your membership or send a new private invitation; creating another account is not the default remedy.

Change association address, settings and county

Keep the complete mailing address, association name, single county and future poll entitlement model accurate.

Step by step

  1. Check the selected community, then open Association settings and choose Edit association. Only the named Community Admin can save these settings.

  2. Update the association name or choose one vote per property or weighted property entitlements. Check the intended voting model against your governing documents before using it.

  3. Select Add a complete association mailing address. Enter the street address or P.O. box, optional apartment, suite or unit, city, state and ZIP code. Country is United States. The mailing address may be outside Texas; it does not change the Texas county selected for the association.

  4. When editing, check every saved address field before saving. Clear the address option only if you intend to remove the complete mailing address. If the option is selected, complete all required fields; a partial address cannot be saved.

  5. In the county picker, search by county name or five-digit FIPS, or scroll the complete list of 254 Texas counties. Names such as Harris County, Condado de Zavala and La Salle can help locate a county.

  6. Choose exactly one county. Selecting another replaces the current selection. If several counties were saved previously, a notice lists them; select the one correct county before saving. The selected county stays visible while you search.

  7. Review existing properties shown under Review property county corrections. If the selected county is correct for every affected property, enter a reason and select the confirmation checkbox. Saving corrects their county, including archived records, in the same operation and records the reason in the audit log. Addresses, owners and voting history are preserved.

  8. Save changes, then check the association and property county. A property form uses only the one community county; use Change association county to correct it and return to the retained property draft. Cancel returns to the draft without saving a county change.

Verify ownership and assign properties

Understand the separate checks that make a member and property eligible for an informal poll.

Step by step

  1. Board: confirm ownership using your association’s process outside this app. In People & properties, open Review verification for the member and record a concise verification reason.

  2. Choose Add a property and enter the lot label, Property address, one of the association’s selected counties and the property’s voting weight. Property address remains a free-text description for an existing record or undeveloped lot; it is not automatically split into postal fields.

  3. Use Add a complete property postal address when a postal address is available. Enter street, optional apartment, suite or unit, city and ZIP code; state is Texas and country is United States. Keep the correct county separately. A partial complete-address entry cannot be saved.

  4. Use Edit property to correct any saved address field. Clear the complete-address option only when you intend to remove those postal fields; the separate Property address description is retained. Address changes do not verify ownership, determine legal applicability or file a public record.

  5. Use Assign owner to select the active member representing that property. Registration, verification and property assignment are separate steps.

  6. For a larger registry, use the CSV import buttons (member import requires the Community Admin; property import is available to active Board members), download the template and check the file before confirming. Up to 250 rows can be imported together; any error stops the whole file. New members remain unverified and no invitation email is sent.

  7. The board can unassign an owner or archive a property with a reason. Archived properties cannot vote or receive new poll entitlements. Previous ballots and frozen entitlements remain in the history. Restore the property from the board archive when appropriate.

  8. Complete these checks before approving a proposal. Approval freezes the eligible member, property and voting weight for that poll.

  9. Member: if your property is missing or eligibility looks wrong, ask the board to review it before a new poll opens.

Join a conversation and moderate fairly

Use topics and replies for community discussion, with recorded reasons when moderators hide content.

Step by step

  1. Open Community forum and choose Start a conversation. Give the topic a clear title and write your message.

  2. Open an existing topic to read its replies or add your own. Keep personal or sensitive information out of public-to-members discussion.

  3. Board or moderator: select Moderate on a topic or reply that needs intervention and enter a clear reason.

  4. Confirm the action. Members see that the item was hidden by moderation, and the reason is recorded in the audit history.

  5. If a discussion needs an informal poll, submit a separate proposal so the board can review its question and choices.

Share documents and community announcements

Share reference text, download protected files and keep board updates current.

Step by step

  1. Member: open Documents. For a text entry, choose Read document; for an uploaded PDF or text file, choose Download file. Downloads require your current signed-in community access.

  2. Board: choose Add a document, then enter a title, category and the document text. Check the wording before saving.

  3. On the self-hosted app, the board can also upload a PDF or UTF-8 text file. Choose a title and category, review the filename and size, then save. Members download the current file after signing in.

  4. Board: use Edit details for a document or Edit announcement for an announcement, and provide a reason. Archive removes it from the active view. The board can inspect and restore archived items; the history stays intact.

  5. For uploaded documents, Replace file publishes a new version with a reason. Board members can download previous file versions from the history. Previous versions continue to count toward the storage allowance.

  6. To post a community update, open Meetings & events and choose Post announcement. Add a clear title and message.

  7. Members can read recent announcements from the overview. New announcements and documents also appear in other eligible members’ notification center.

  8. When both languages are needed, supply English and Spanish in the document or announcement yourself.

Read notifications and set your email preferences

Follow community activity privately and save personal delivery choices without enabling unconnected email.

Step by step

  1. Open Notifications in navigation or select the header bell. Check the Association selector: your inbox and preferences belong to the chosen community.

  2. Read Community activity. Choose All activity or Unread, then Open section to read the source with your current access. If another association is selected, switch community in the main navigation before opening its private content.

  3. Use Mark as read for one update or Mark displayed as read for the displayed group. The list shows up to 100 available updates; choose Unread and mark each displayed group to reveal older unread items.

  4. In Email preferences, choose No email, Individual updates or Daily summary. Select the update categories and Email language for this association, then choose Save preferences.

  5. Check the saved confirmation. These choices are personal: they do not change anyone else’s preferences, the interface language, or the independent in-app inbox.

  6. If preferences changed in another session, choose Load saved preferences, review the current values and reapply your choices. If community access is paused, the activity feed is hidden while your own delivery preferences remain available.

Import members from a CSV file

Add a member list in one reviewed import, then invite and verify people individually.

Step by step

  1. Only the named Community Admin can perform these membership, office and administration changes. Being President or another Board member does not grant these rights. The current Community Admin cannot be directly demoted or suspended; use the explicit administration handover.

  2. Select the correct community, open People & properties, and choose Import members (CSV) beside Members.

  3. Choose Download CSV template. Replace the example row with your own members and keep the column headers name, email, role. The name and email columns are required; role is optional.

  4. Use owner or moderator in the role column; a blank role becomes owner. Assign board access separately through Change role after the person has joined.

  5. Save a comma-separated UTF-8 CSV with no more than 250 data rows and 40 KB (40,000 bytes). Choose CSV file, then select Check file.

  6. Read each issue under CSV line, Field and Issue. Correct the original file and choose it again. Repeated emails, existing members and unsupported columns must be resolved before importing.

  7. When Ready to import appears, check the total record count and the Preview (first 10 rows). Choose Import all rows only when the complete source file is correct.

  8. After Registry imported, review the member list. Use Create invitation link for each new member and share the private link directly. Verify ownership separately and assign the appropriate property before poll participation.

Import properties and owner assignments

Prepare a property registry using the community county, voting weights and optional existing member assignments.

Step by step

  1. In the correct community, open People & properties and choose Import properties (CSV) beside Properties & voting rights.

  2. Choose Download CSV template. Keep label and county. Provide address as a free-text description, or use the complete postal columns address_line1, city, state, postal_code and country instead; both forms may be included. Optional columns are address_line2, weight and member_email. Remove the example row before adding your actual properties.

  3. Give every property a distinct label and an accurate address description. Enter the one county selected for the community; the Community Admin can correct it in Association settings → Edit association when necessary. County is separate from the complete postal address.

  4. For a complete postal address, fill address_line1, city, state, postal_code and country together; use TX for state and US for country. address_line2 is optional. Leave all postal columns blank if using only a lot description. An existing address description is retained, never guessed or split into postal fields. Without a description, the complete address supplies the display text.

  5. Use a whole-number weight from 1 to 10,000, or leave it blank for one. To assign a representative, use the email of an active membership already in this community. Leave member_email blank to keep the property unassigned.

  6. Save as comma-separated UTF-8 CSV, up to 250 data rows and 40 KB (40,000 bytes). Choose CSV file and select Check file.

  7. Resolve every issue, including duplicate labels, uncovered counties or an owner email that does not match an active membership. Check the total and Preview (first 10 rows), then choose Import all rows.

  8. Review the saved registry and owner assignments. Confirm that each representative has joined and ownership is verified before approving a new informal poll.

Read documents and download community files

Find a text document or download the current PDF/TXT shared by your association.

Step by step

  1. Sign in, select the correct community and open Documents. On a small screen, use More to find the section.

  2. Use the page search to find a title, category, description or uploaded filename. Check the document title and category before opening it.

  3. For a text document, choose Read document to read the saved text in the app.

  4. For a PDF file or Text file, check the filename and Version number, then choose Download file. Your browser handles where the file is saved; open the downloaded file with an appropriate viewer.

  5. If a document is missing, clear the search and confirm the selected community. Ask the board whether it was archived or replaced rather than relying on a previously downloaded copy.

Upload a PDF or text file for members

Publish a titled file in the document library and confirm it is available to the community.

Step by step

  1. As an active board member in your actual community, open Documents and the Active view, then choose Upload file.

  2. Enter a clear Title and Category. Use Description (optional) for a short explanation of what members should read or do.

  3. Under Choose a PDF or text file, select a nonempty .pdf or UTF-8 .txt file. Check its name and the displayed maximum file size and storage usage.

  4. Choose Upload and save. Keep the dialog open while it shows Preparing file…, Uploading… or Saving file…. Reaching 100% alone does not confirm the save.

  5. Wait for The file has been saved. Check the new document card and use Download file to confirm the correct file was published.

  6. For a later correction, use Edit details for the title and category or Replace file for new file contents. Include any needed English and Spanish explanation yourself.

Replace a file and review earlier versions

Publish a corrected file with a reason while retaining earlier revisions for the board.

Step by step

  1. Open Documents, find the file document and choose Version history. Check the file marked Current before making a correction.

  2. Choose Download file beside an earlier version when you need to review it. This downloads that revision; it does not make it current.

  3. Return to an active document card and choose Replace file. For an archived document, use Restore first and record why it should return to the library.

  4. Review the Title, Category and Description (optional), choose the replacement PDF or UTF-8 TXT, and enter a Reason for the change of 5–2,000 characters.

  5. Choose Upload and save, wait for the success message and reopen Version history. Confirm that the replacement is marked Current and has the expected filename and version.

  6. If another board member changed the document first, keep your intended changes, choose Review updated document and compare the latest version before trying again.

Correct, archive or restore shared content

Keep announcements and documents accurate while retaining a reasoned association history.

Step by step

  1. For a document, open Documents. For an announcement, open the Around the neighborhood announcement list from Overview. Confirm that the Active view is selected.

  2. To correct wording, choose Edit details on a document or Edit announcement on an announcement. Update the supported fields and enter the required reason before saving.

  3. For an attached file, Edit details changes only the title and category. Use Replace file when the PDF/TXT itself needs to change.

  4. To remove a document or announcement from members’ active view, choose Archive on its card. Enter a reason of 5–2,000 characters, then confirm Archive document or Archive announcement in the dialog.

  5. Select Archived to inspect retained items as the board. Members no longer see the archived content or its activity notifications.

  6. When the item should be available again, choose Restore on its card, explain why, and confirm Restore document or Restore announcement in the dialog. Return to Active to verify its current content.

  7. If a save reports that the record changed, copy your unsaved text before choosing Review updated record. Reopen the current item and reconcile the changes.

Unassign or archive a property without losing history

Maintain the active registry while preserving existing ballots and frozen poll entitlements.

Step by step

  1. Open People & properties and find the property under Properties & voting rights. Check its label, county, current representative and voting weight.

  2. If the property remains active but its current representative must be removed, choose Unassign owner. Enter a reason of 5–2,000 characters and confirm.

  3. Use Assign owner later to select the appropriate active membership. Verify ownership separately; an assignment does not verify the person.

  4. If the property should leave the active registry, choose Archive property, give the reason and confirm. The record keeps its current owner link and history but cannot cast new ballots or receive entitlements for newly approved polls.

  5. To bring it back, select Archived, choose Restore property and record why. Return to Active and review the owner assignment, verification and voting weight.

  6. Before approving a new informal poll, check the complete active registry. If you need to understand an earlier change, review Activity & audit log in Association settings.

Change member roles and community access

Manage board, moderator and owner permissions with recorded reasons and a safe board handover.

Step by step

  1. Only the named Community Admin can perform these membership, office and administration changes. Being President or another Board member does not grant these rights. The current Community Admin cannot be directly demoted or suspended; use the explicit administration handover.

  2. Open People & properties and locate the member by name and email. Check Community role, Access status and Verification decision before making a change.

  3. Choose Change role to select Owner, Moderator or Board. The person must accept their invitation before promotion to Board; CSV import cannot grant board access. When assigning Board access, select the appropriate board office if it is known.

  4. Enter the required reason and choose Save changes. Role changes apply immediately in this association. Check your own account carefully before changing your own access.

  5. For a joined, active board member, use Edit board position to assign, change or remove the saved office. This also works for existing members whose office was not previously recorded. Enter the required reason based on the association’s actual authorized decision; removing an office does not by itself remove Board access.

  6. Check the updated office in the directory. Offices are association records, separate from the app access role and ownership verification. Later changes do not rewrite the original organizer declaration or earlier audit entries.

  7. To suspend app access under the association’s authorized process, choose Suspend access, read the effect, record a reason of 5–2,000 characters and confirm. This removes ownership verification but preserves recorded ballots and history.

  8. To restore app access, choose Reactivate access and record the reason. Review verification again and confirm the property assignment before expecting further poll participation.

  9. To hand over your community administration, choose Transfer community administration and select another active member who has already joined this association. Choose their board office and enter the reason for the authorized handover.

  10. Read the confirmation: the selected member receives Board access with that office and your own membership becomes Owner with no current board office. Other Board members retain their current content permissions; a board office never grants Community Admin rights. Explicitly confirm your authority and save; both membership changes happen together, with no gap leaving the community without a board administrator. Do not share passwords.

  11. After a board election, review each other outgoing and incoming member separately. The handover does not automatically revoke every former board member. If the screen reports a changed membership, reload the latest state and review it before submitting again; an outdated editor cannot overwrite newer changes.

  12. Review the result in the member list and Activity & audit log. If a role or access change is unavailable because the member is suspended, reactivate access before changing the role, verifying ownership or creating a new invitation.

After a board election: update offices and hand over administration

A practical transition checklist for the outgoing and incoming board, using separate personal accounts and recorded access changes.

Step by step

  1. Only the named Community Admin can perform these membership, office and administration changes. Being President or another Board member does not grant these rights. The current Community Admin cannot be directly demoted or suspended; use the explicit administration handover.

  2. Confirm the actual authorized election or appointment results and the transition date against your association records. Complete the applicable association process first. These instructions update NeighborEase records and access; they do not conduct or certify an election.

  3. The currently named Community Admin signs in with their own account, selects the correct community and opens People & properties. Review each person’s Community role, board position, Access status and ownership verification.

  4. Invite incoming board members who have not joined yet. Share each private invitation with its intended recipient and wait for them to create or use their own account and accept it. An unaccepted invitation cannot receive board promotion or the administration handover. Do not share an administrator password.

  5. For an incoming member, choose Change role, select Board and the appropriate board position, and record the reason for the authorized change. For a person who already has Board access, use Edit board position to assign, change or remove the recorded office, including when the existing record had no office.

  6. Review the other outgoing members before the final handover. Change their app role to Owner or Moderator as appropriate and record the reason. Clearing a board position alone does not remove Board access. Suspending access is a different action that also removes ownership verification; use it only when that access suspension is actually intended.

  7. When ready to hand over your own administration, choose Transfer community administration. Select an active member who has joined, choose their board position and enter the reason. Read and explicitly check the confirmation: the successor becomes the named Community Admin with Board access and that position, and you become Owner without a current board position. Both changes are saved together.

  8. The incoming administrator signs in using their own existing credentials and checks the updated member list and Activity & audit log. Other board members keep their current access until individually changed; the administration handover does not automatically revoke the entire previous board.

  9. If an editor reports that a membership changed, choose Load latest membership details, review the current role and office, and confirm again before saving. Never overwrite a newer decision using an old draft. The app also prevents removing or suspending the last joined active board member.

  10. Review pending proposals, architectural applications and committee appointments, upcoming meetings, agendas and association documents with the incoming board. Existing records, property assignments, verification and historical votes are retained by the role handover. Confirm separately any required association contacts, filings or notices; saving in the app does not submit them to an authority.

Submit a property improvement for architectural review

Prepare a private application for your assigned property, attach plans and follow the association’s review process.

Step by step

  1. Open Architectural review and read your association’s process description and referenced governing documents before planning work. Ask the board to clarify missing requirements.

  2. Start an application and select your assigned property. Its registered address, county and lot number fill automatically. Ask the board to correct the registry if needed. A complete Texas postal address is required to submit; a legacy lot can still save a draft. Do not submit for somebody else’s property.

  3. Enter a clear project title and describe the enhancement or structural addition. Include dimensions, materials and other information your association requires. Check the owner contact details supplied with the application.

  4. Save a draft, then attach relevant PDF, PNG or JPEG files, such as drawings, site plans or photographs. Each file is limited to 10 MiB; retained files share the association’s 100 MiB storage. Select up to 20 files for a revision and confirm each attachment before submitting. Keep unnecessary sensitive information out of files.

  5. Review the application and submit it. A saved draft is private to its applicant; submission makes the application available to authorized reviewers and the board. The saved property and owner details form the application’s record.

  6. Follow the status and stage indicator. After approval, Ready to start becomes In progress and then Completed as progress updates are recorded. Association approval is separate from required governmental permits and inspections.

Review a project, request corrections and record progress

Keep feedback, corrections, decisions and development updates together in the application history.

Step by step

  1. Appointed reviewer: open a submitted application in Architectural review, read its saved property details and documents, and move it to Under review when examination starts. Board membership does not automatically grant this committee permission.

  2. Record useful feedback. Where appropriate, add an official Texas statute reference or cite the association’s governing document and section. Review the source, applicability and document version rather than relying on a citation label alone.

  3. If clarification or a revised plan is needed, request changes and explain what must be corrected. A denial must explain the basis and required changes; do not treat a request for corrections as a substitute for a denial notice.

  4. Owner: read the feedback, edit the returned application, review contact details and attachments, then resubmit. Each saved action and submission preserves the history; a resubmission is a new review step, not automatic approval.

  5. Reviewer: approve only after completing the association’s authorized review. Approval moves the project to Ready to start. Record In progress and then Completed with a meaningful update as development advances.

  6. If another participant has changed the record, reload and review the latest version before saving again. Do not repeatedly submit an old decision after a conflict.

Configure the committee, process and denial appeals

Publish your association’s process, appoint authorized reviewers and document notice and appeal steps.

Step by step

  1. Board: in Architectural review, save the association’s process description and relevant governing-document references. Explain the materials applicants must provide and the association’s actual next steps. Saving process text or uploading bylaws does not verify their legal applicability.

  2. Review committee authority and eligibility using the linked official English sources. Spanish legal summaries are unofficial. The association must determine applicability, candidate solicitation and appointment requirements before granting reviewer access.

  3. Appoint each reviewer explicitly, recording the eligibility basis and a reason. Select a vacancy exception or a section-not-applicable basis only when supported by the actual circumstances. Remove an appointment when authority ends; keep its history.

  4. For a denied application, prepare and deliver the required written notice through the proper external channel. Record the delivery method, date and evidence reference in the application. Saving that record does not send a letter or email or prove receipt.

  5. Owner: use the denied application’s appeal option to record a hearing request and its reason. Follow the association’s prescribed channels as well; the app does not decide statutory deadlines or guarantee that an in-app request satisfies every delivery requirement.

  6. Board: arrange the required notice and hearing externally, review the record and save the hearing date, reasoned outcome and references. An approved outcome moves to Ready to start; an upheld denial remains denied. Record any legally required modification accurately in the outcome and governing records.

Submit an idea for an informal poll

Verified members can submit a clear proposal for the board to review before voting opens.

Step by step

  1. Open Polls & proposals and choose New proposal. Ask the board to verify your ownership first if this action is unavailable.

  2. Write a clear title and description explaining the question and relevant context.

  3. Enter 2–8 distinct answer choices, one per line, and a closing date and time in the future.

  4. Submit the proposal. It remains Pending review until the board approves or rejects it with a reason.

  5. Return to the proposal to read the decision. Approval opens the informal poll until its closing time.

Review a proposal before the poll opens

Board review records a reason and, on approval, freezes the property entitlements for that poll.

Step by step

  1. Check People & properties first: eligible members must be active and verified, with their properties assigned and the intended weights recorded.

  2. Open a Pending review proposal in Polls & proposals. Read the wording, answer choices and closing time.

  3. Choose Approve or Reject and enter a meaningful reason. The decision and reason are recorded in the audit history.

  4. Approve only when the proposed question is suitable for an informal, transparent poll. Approval freezes eligibility and opens participation.

  5. Review the recorded decision and results from the proposal. A reviewed proposal cannot be reviewed again through this workflow.

Participate in a poll and read the results

Submit one final, visible ballot for each eligible property you represent.

Step by step

  1. Open an approved, open poll in Polls & proposals. Read its question, answer choices, closing time and transparency notice.

  2. Choose one of your eligible properties and select an answer. Only properties assigned to you with an unused entitlement frozen at approval are offered.

  3. Check the property and choice carefully, then submit. A submitted ballot cannot be changed or submitted again for that property.

  4. If you represent several eligible properties, repeat for each remaining property. A submitted ballot for one lot does not use another lot’s entitlement.

  5. Open the poll details to see results and the transparent ballot record, including property choices and voting weights.

Step by step

  1. Open Meetings & events and choose Schedule a meeting. Add a title, choose Texas Central or Mountain time, enter the meeting’s local date and time in that zone, and add an optional full HTTPS meeting link.

  2. Write the agenda or use the editable starter template. Choose Save draft to continue preparing it privately with the board.

  3. Open the agenda editor again when ready. Choose Publish agenda to share its text and publication date with active members.

  4. For later revisions, save a new private draft while the previously published agenda remains visible. Publish again when the revision is ready.

  5. If another board member saved first, preserve any unsaved wording, load the latest agenda and reconcile changes before saving again.

  6. To call off a meeting, choose Cancel meeting and give a reason. Members see a clear cancellation notice. The agenda, minutes and history are retained; the board can reinstate the meeting with a reason.

Correct a meeting title, time or online link

Revise meeting details while preserving its published agenda, private draft and minutes.

Step by step

  1. Open Meetings & events and find the correct meeting. Read its saved title, date and time zone before choosing Edit meeting details.

  2. Correct the title, local date and time, or optional full HTTPS meeting link. Choose Central Time (Texas) or Mountain Time (Texas) deliberately; your device’s own time zone does not change this entry.

  3. Save changes and check the meeting card. The date and time are displayed in the saved meeting zone. A title-only change preserves the original stored instant.

  4. If another board member saved first, preserve your unsaved wording and review the latest meeting details using the editor’s conflict controls. Reconcile the changes before saving again.

  5. Use Edit agenda for agenda changes and the separate minutes editor for minutes. Correcting the title, date or link does not replace either section.

  6. If the meeting is cancelled, use its reinstatement workflow before changing the schedule or joining link. Confirm with members that a cancellation has actually been withdrawn before they rely on the original arrangements.

Cancel a meeting or put it back on the schedule

Show members a clear cancellation and retain the agenda, minutes and recorded reasons.

Step by step

  1. Open Meetings & events and find the correct meeting. Review its title, scheduled date and time before choosing Cancel meeting.

  2. Enter a reason of 5–2,000 characters and confirm Cancel meeting. The reason is shown with the cancellation, so write a clear explanation suitable for members.

  3. Choose View details to open Meeting details and confirm the Meeting cancelled notice. Members can still see the record, but Join online meeting is hidden and the meeting is excluded from the upcoming overview.

  4. Keep any required communication outside the app on track. Cancellation creates an in-app meeting activity notice for other eligible members; it does not send an email or cancel an external Zoom/Teams reservation.

  5. If the meeting should proceed again, choose Reinstate meeting, explain why and confirm. Check the retained date, time zone, link and published agenda immediately.

  6. Use Edit meeting details after reinstatement if the date, time or link needs correction. Use Edit minutes to record the meeting outcome or cancellation context; the agenda and existing minutes remain available.

Choose the right Texas meeting time zone

Schedule in Central or Mountain time even when your device is in another country or time zone.

Step by step

  1. Open Meetings & events and choose Schedule a meeting, or use Edit meeting details for an existing active meeting.

  2. Under Meeting time zone, choose Central Time (Texas) or Mountain Time (Texas) according to the meeting location. County selection does not choose this setting for you.

  3. Enter Date and time as the local clock time in that selected Texas zone. For a 7:00 p.m. Central meeting, enter 19:00 with Central selected, even when your device is elsewhere.

  4. If the app says the time does not exist because clocks move forward, choose a valid time outside that gap. If it says the time occurs twice when clocks move back, choose a time that is unambiguous.

  5. Save using the meeting form’s available save or publication action. Choose View details to open Meeting details and check the displayed date, time and zone before sharing the schedule.

  6. When correcting only a title or link, leave the date, time and zone unchanged unless a schedule change is intended. Use the separate meeting correction guide if another board member saved first.

Protect your account and recover access

Use a strong password and save one-time recovery codes before you need them.

Step by step

  1. Open your avatar and choose Account & security. Check your username and recovery-code status.

  2. To change your password, enter the current password and a new, unique password of at least 8 characters, then confirm it.

  3. Generate recovery codes using your current password. Save or download the eight codes somewhere private and offline before closing the screen.

  4. If you forget your password, use the recovery option on the sign-in page with your username and one unused code to set a new password.

  5. After recovery, sign in again. Generate a replacement set if codes were lost or exposed; a new set invalidates all older codes.

  6. Open Notifications from navigation or the header bell. In Email preferences, select the community and save your preferred categories, language and frequency. No email is the default; individual updates and daily summaries are saved preferences while delivery remains disabled.

Understand billing and restricted access

Know the two-attempt policy and which account services remain available during a restriction.

Step by step

  1. Community Admin: open the association’s billing management from Association settings. Read the billing simulation notice and the current simulated state.

  2. The policy is two attempts in total: the initial attempt and one retry 48 hours after the first failure. An unresolved second failure or elapsed window restricts association content.

  3. When restricted, normal community pages and edits are unavailable. The named Community Admin retains billing access; Account & service remains available for authorized requests.

  4. In the current payment simulation, only clearly labeled simulation controls change simulated outcomes. No real card details are collected and no money is charged.

  5. For a payment concern, speak with the association board. You can still maintain account security, sign out or switch to another association you belong to.

Cancel the association subscription

The named Community Admin can record cancellation for the end of the saved simulated subscription billing period.

Step by step

  1. Open Account & service and select the correct association. Confirm that you are its named Community Admin and authorized to cancel.

  2. Read the subscription status, period end and cancellation explanation before choosing to cancel.

  3. Confirm cancellation. A simulated paid subscription period continues until its recorded end, subject to any existing payment restriction.

  4. If no simulated paid subscription period is recorded, read the immediate-end warning carefully: confirming ends normal association access immediately.

  5. Keep the displayed cancellation details. Use Account & service to request authorized data copies; the displayed recovery period is at least 30 days after termination.

Request a data copy, correction or deletion

Create a tracked request for the selected association and follow its review history.

Step by step

  1. Open Account & service and select the association your request concerns. This service remains available during a payment restriction.

  2. Choose a personal data copy, correction or deletion request. Active board members can also request an association-wide copy.

  3. Describe the request clearly without adding passwords, card numbers, identity documents or other unnecessary sensitive information.

  4. Submit and follow the status and recorded responses. Requests appear in the selected association’s review queue; no automatic request email is sent.

  5. When a copy is ready, return as the original requester and choose Download authorized copy. Save the JSON file securely and share it only with authorized people.

  6. The JSON contains scoped records and file references, not embedded PDF/TXT bytes. Active board requesters needing the association’s referenced files can arrange an authorized assisted return through the existing operator contact channel.

Review requests and prepare a data copy

Board reviewers manage their own association’s queue with recorded reasons and scoped downloads.

Step by step

  1. Open Account & service for the correct association and read the submitted request and its event history.

  2. Move the request to In review with a meaningful reason. Confirm the requester’s identity, scope and authority through your established process.

  3. For an authorized copy request, mark it Ready when appropriate. The app prepares a bounded JSON snapshot for the original requester.

  4. If an authorized association copy also needs PDF/TXT files, arrange the separate assisted return of revisions referenced by that saved snapshot. Confirm actual delivery before recording fulfillment; preparing a JSON copy or ZIP is not proof of receipt.

  5. For a correction or deletion request, carry out the authorized work through the appropriate process before recording Completed. If rejecting, record a clear reason.

  6. Check the final status and history. If the request changed while you were reviewing it, reload the current version before deciding again.

Choose the Finance upgrade and review payment simulation

The named Community Admin can review Finance pricing below 100 lots, request pricing from 100 lots and separately enable the payment simulation ledger.

Step by step

  1. Open Finance & dues in the correct community and read the availability notice. Pay My Dues is an optional Finance upgrade, separate from the association’s NeighborEase subscription.

  2. Community Admin: review the active-property count and choose Monthly or Annual. Below 100 active properties, the first 25 cost an additional $9 per month, and each additional started block of 25 adds $3 per month. The first-band minimum also applies at zero properties. Archived properties are excluded. Annual billing is eleven monthly fees, saving one month: $99 for the first band. At 100 or more active properties, pricing must be requested; no automatic subscription amount is offered.

  3. Below 100 lots, check the amount and explicitly confirm Save simulated selection; the server rechecks the count and price, so a changed result requires review again. This saves a simulated subscription selection only; no card is charged. From 100 lots, use Request pricing with the preferred interval and optional message. The private request is saved to the operator queue; no email is sent, no price is accepted and no payment or paid upgrade is authorized. A later lot-count change updates the pricing view but does not automatically charge or rewrite a prior booking.

  4. Use the separate Enable payment simulation control for the implemented simulated ledger. Confirm that all charges, payments, receipts and exports are SIMULATED records and no money is moved. Disable payment simulation blocks new ledger actions while preserving the ledger and authorized history. This technical simulation does not offer a trial period or activate a paid subscription.

  5. The Community Admin can use Finance permissions to Grant finance access or Revoke finance access for an active Board member, recording a reason. Review this permission individually when the board changes; selecting Treasurer as an office never grants financial authority by itself.

  6. Give the appointed finance manager the treasurer guide. Owners use Pay My Dues to see only their authorized charges and simulated receipts; they do not receive access to the community-wide ledger.

  7. Before real collection can be enabled, the association’s verified payment account, bank destination and payment-flow review must be completed. Live Stripe checkout, bank linking, email delivery and recurring collection are not connected; selecting the upgrade does not enable them.

View your dues and record a simulated payment

Pay My Dues shows your authorized property charges, remaining balances and immutable SIMULATED receipts; real card or bank payments are not available yet.

Step by step

  1. Sign in, select your association and open Finance & dues. Check the community name and the Payment simulation notice before entering a record.

  2. Review each property, charge title, annual period, due date, original amount, simulated payments and remaining balance. A charge is a saved property/member snapshot; ask the finance manager to review an incorrect owner or charge rather than paying it.

  3. Open an eligible outstanding charge under Pay My Dues · simulation. Enter a positive Simulated amount (USD) no greater than the remaining balance. A partial simulated payment leaves the rest outstanding.

  4. Check the confirmation that no money is moved, choose Simulate payment once and wait for the saved result. Do not enter a card number, bank credentials or real payment instructions: no money is moved and no live checkout opens.

  5. Read the resulting SIMULATED receipt and remaining balance in your payment history. Use Download simulated receipt to save the record. Receipts preserve the original simulated record; a later reversal is a separate correction, not an edited receipt.

  6. Read private dues reminders through the Notifications bell/inbox or Finance, and mark a notice read after reviewing it. Current ownership is checked again when opening a reminder. It describes a recorded simulated balance; it does not send an email, authorize a bank withdrawal or constitute a statutory collection notice.

  7. If Finance is unavailable, ask the Community Admin whether payment simulation is enabled and the association workspace is accessible. If no charge is shown, ask the board to check your active membership, assigned active property and whether a charge was issued to you. Only the current assigned member can view their eligible personal charge; ownership verification is also required to simulate payment. A board office alone does not create a personal property balance.

  8. If the connection fails after confirming, reconnect and check the charge and receipt history before trying again. Private balances and payments require an internet connection and are not queued offline. Contact the finance manager about a wrong amount, a voided charge or a reversed simulated payment.

Manage annual simulated dues, corrections and reminders

An explicitly authorized finance manager can issue annual SIMULATED charges, review partial payments, record reasoned corrections and export the simulation ledger.

Step by step

  1. Open Finance in the correct association. Confirm that payment simulation is enabled and that the Community Admin has explicitly granted your active Board membership finance-management access, or that you are the Community Admin. The Treasurer office label alone gives no finance permission.

  2. Review active properties, assigned members and ownership verification before issuing annual dues. Choose Create annual simulated charge, then enter Property, Charge title, Assessment year, Due date and Simulated amount (USD) using at most two decimal places; the system stores money as integer cents.

  3. Choose Save simulated charge only for the intended eligible property. One active annual charge is allowed per property and assessment year. Review the saved property/member snapshot and total before asking the owner to try a simulated payment. Later owner or address edits do not rewrite existing financial snapshots.

  4. Use the ledger to review original charges, partial simulated payments, remaining balances and receipts. Confirm whether a payment is still effective or has a recorded reversal; a receipt is not evidence that funds reached a bank account.

  5. To correct a payment, choose Reverse simulated payment and enter a reason. To correct or reissue a charge, reverse all of its effective simulated payments first, then use Void charge with a reason and create a corrected charge if appropriate. Original records and receipts remain preserved. A reversal does not refund money and a void is not a bank cancellation.

  6. Current charges is the normal Status view and hides voided charges and their payment details. Use Status → All or Voided to review the preserved history and receipts. Reversing a payment alone does not void its charge.

  7. For an eligible open balance, choose Record private reminder and Save in-app reminder for its authorized member. Check the recorded result and use the association’s established contact method if needed. No email, SMS, bank debit or statutory collection notice is sent.

  8. Choose Export simulation ledger (CSV), check its SIMULATED labeling and keep the file in an authorized location. The export is a record of this simulated ledger, not a bank reconciliation or a complete accounting system. Do not share other owners’ balances in the public forum or documents.

  9. At a board transition, have the Community Admin review and remove old finance permissions and explicitly appoint any replacement. Correct wrong ownership, unavailable membership or stale balances before continuing. If a save result is uncertain, refresh and inspect the existing record before retrying.

Review activity, decisions and retained history

Understand what the board can inspect and why corrections do not erase earlier decisions.

Step by step

  1. Check the current association, then open Association settings and scroll to Activity & audit log. Only the board receives this association’s detailed audit view.

  2. Find the relevant action and read its recorded time and detail. Proposal decisions, ownership changes, content corrections and lifecycle reasons are recorded by the server.

  3. For an archive or restoration, compare the status and reason with the current item. Archived documents, announcements and properties are available through their board archive filters.

  4. For an uploaded document, use Version history in Documents to inspect its file revisions. For a service request, use Account & service to inspect its separate status and review history.

  5. Association and property address corrections record that an address changed without copying the full address into the audit detail. Read the current authorized settings or property record to check the saved address; an audit event is not a postal or ownership verification.

  6. If a record is incorrect, use its supported edit or review workflow and supply a reason. Do not try to remove prior ballots, frozen entitlements or audit entries to change the apparent history.

  7. If you need a broader authorized copy than the recent on-screen log, submit an Association data copy request in Account & service. Review scope and current requester authority before preparing or sharing a copy.

Know what early access can do and prepare election questions

Separate working community tools, explicit simulations and the reference-only official-election area.

Step by step

  1. Use the community tools for association coordination: properties and members, forum discussions, documents, announcements, meetings and transparent informal polls. Your current association role controls the actions available.

  2. Read every poll’s informal and transparent notice before participating. These polls are not secret ballots, official elections, spending authorizations or legally binding association decisions.

  3. Open Official elections to read the preparation material. The six review topics help organize questions and records; none is a completed legal approval or a switch that enables an election.

  4. Search or filter the thirteen election references, open a reference’s details and follow Read the official statute to the full English source. Selected passages are excerpts; Spanish summaries and translations are unofficial.

  5. In Texas legal center, distinguish state sources, county/local requirements and your governing documents. Check source status and the stated reference date. The directory covers all 254 counties without claiming every local rule has been reviewed.

  6. Check the current setup labels elsewhere: billing is simulated, outbound email is disabled and contract acceptance remains inactive while operator details and reviewed publication are pending. Do not treat a saved preference or simulated outcome as a real payment, sent notice or signed agreement.

Recover from a connection problem or save conflict

Keep your work, check what was saved and continue from the latest authorized community state.

Step by step

  1. Read the message before retrying. An offline or refresh warning means displayed information may be old; a record-changed warning means another saved version needs your review.

  2. Keep the current editor open and copy important unsaved text to a private place before closing, reloading, signing out or switching communities. An open draft is not a permanent backup.

  3. Restore your connection and let the community refresh. If your session expired, sign in again with your own account and return to the correct community.

  4. After a timeout or uncertain save, check the relevant list or record before submitting again. For an upload, check Documents; for an import, check the registry; for a ballot, check the poll’s recorded ballot.

  5. For an agenda conflict, copy your text and choose Load latest agenda. For meeting details, use Load latest meeting details. For a content record, use Review updated record and reopen the item before merging your changes.

  6. For a CSV preview conflict, choose Check file again. For a file replacement conflict, use Review updated document. Review the current record and permissions rather than repeatedly submitting the stale editor.

  7. If access is suspended or community content is paused, contact the board or open Account & service for the authorized options. If the problem continues, share the visible error and affected feature, not your password or private invitation link.

Request records and arrange a return of association files

Understand the JSON copy, the separate PDF/TXT return process and who may receive each copy.

Step by step

  1. Open Account & service and select the association your request concerns. This service remains available for authorized requests when normal community content is paused or the term has ended.

  2. For your own supported personal records, choose My personal data in this association. For an association-wide return, the original requester must be an active board member and choose Association data copy.

  3. Describe what is needed in Describe your request, including whether association PDF/TXT files are required. Select Submit a request and keep the Request reference. No email is sent automatically.

  4. The board reviews the request. When Ready for download appears, the original authorized requester can choose Download authorized copy to obtain the JSON records snapshot.

  5. The JSON includes document metadata and file references, not PDF/TXT bytes. For an authorized association file return, arrange private assisted delivery with the operator through your established contact; the board coordinates that separate step.

  6. Check that the delivered association package contains its records, manifest and expected files. It returns the file revisions referenced by the prepared snapshot; replacements uploaded later require a new reviewed copy if they are needed.

  7. Board reviewer: after the authorized delivery has actually been handled, use Review request and record completion with an accurate reason. Preparing a copy alone does not confirm that the recipient received the files.
